This Privacy Policy describes how VoiceToPrompt ("we", "us", "our") collects, uses, and protects information when you use our macOS application and website (voicetoprompt.app).

1. Information We Collect

1.1 Information You Provide

• Email address — when you purchase a license or contact support
• License key — automatically generated and tied to your purchase
• Device identifier — anonymous hash used for license activation across your devices

1.2 Information Collected Automatically

• Anonymous usage analytics — feature usage, app crashes, and performance metrics. No personal data is collected. You can opt out at any time in Settings.
• Website analytics — Cloudflare Web Analytics collects aggregated traffic data without cookies or personal identifiers.

1.3 Information We Do NOT Collect

• Audio recordings — all voice processing happens locally on your Mac. Audio never leaves your device.
• Transcribed text — your dictation results are never sent to our servers.
• Personal content — we have no access to what you type, dictate, or work on.

2. How We Use Information

We use collected information to:

• Provide and maintain VoiceToPrompt
• Process license purchases and activations
• Send transactional emails (license keys, receipts)
• Improve app stability and features through anonymous analytics
• Respond to support requests

We do NOT:

• Sell your data to third parties
• Use your data for advertising
• Share your information except as described below

3. Third-Party Services

We use the following services to operate VoiceToPrompt:

• Paddle — payment processing (subject to Paddle's Privacy Policy at paddle.com/legal/privacy)
• Resend — transactional email delivery
• Cloudflare — hosting and content delivery
• TelemetryDeck — anonymous usage analytics
• OpenAI — only if you provide your own API key — transcription via cloud Whisper. We do not have access to your OpenAI usage.

4. Data Storage and Security

• License data is stored in Cloudflare D1 database with industry-standard security
• Email addresses are stored encrypted at rest
• We retain license data for as long as your license is active plus 2 years for legal/tax purposes

5. Your Rights (GDPR & CCPA)

You have the right to:

• Access the data we hold about you
• Rectify inaccurate data
• Delete your account and associated data
• Port your data in machine-readable format
• Object to processing
• Withdraw consent at any time

6. Data Retention

• Active license: kept indefinitely while license is valid
• Cancelled accounts: deleted within 90 days of cancellation
• Anonymous analytics: aggregated data retained for up to 2 years
• Email correspondence: retained for 2 years

7. Children's Privacy

VoiceToPrompt is not intended for children under 13. We do not knowingly collect data from children under 13. If you believe we have collected such data, contact us at support@voicetoprompt.app for immediate deletion.

8. International Data Transfers

Your data may be processed in countries outside your residence. We ensure appropriate safeguards are in place, including standard contractual clauses for transfers from the EU.

Our website uses cookies for:

• Analytics cookies — only with your explicit consent
